Keep the original file safe
HexxPDF tools create a new output from the PDF you upload; they do not automatically change the original file on your disk. Still, if you save with the same name, you may overwrite the original, so creating a backup before starting is the safest step.
Especially for contracts, invoices, or official documents, use a folder structure to avoid confusing the "final version" with the "source" file. Clear names such as `report-source.pdf` and `report-share-v2.pdf` help you remember which file went through which operation later.
When you close the browser tab, temporary data from the session is cleared; you may lose an output you have not downloaded yet. During longer editing sessions, downloading intermediate results or keeping the original in a location you control rather than only in the cloud is a good practice.
Check the output before downloading
After deleting, reordering, or splitting pages, the page count may be different from what you expected; previews or thumbnails help catch this early. For critical documents, verify the first and last pages, as well as signature pages or attachments.
Changes such as PDF rotation and watermarking are applied visibly; adding a watermark to the wrong page may be hard to fix without creating a clean copy. If possible, test on one page first and then apply it to the whole document.
If you exported with PDF to Image, remember that text selectability may be lost. If the recipient expects editable text, send the PDF instead of an image; if you send an image, check that the resolution remains readable.
Sensitive documents
For identity, health, or financial PDF files, browser-based processing can be a suitable option for many users because the file is not uploaded to the server. Extra care is still needed on shared computers, during screen sharing, or in environments with stored remote access.
After the task is finished, move the downloaded file to a secure location and remove unnecessary copies from places such as Downloads or the desktop. When sending by email, review the recipient list and attachment size once more.
A watermark does not mean "confidential" or "approved" access control; it is only a visual warning. Real access restriction requires PDF encryption or corporate data protection solutions; HexxPDF does not replace those advanced security layers.
Large and complex files
PDF files with hundreds of pages or dozens of megabytes may slow down depending on device memory and the type of operation. If possible, reduce the file first with Split PDF or Delete Pages, then merge or convert it.
High-resolution PDF to Image export can increase RAM usage quickly. Starting with a lower preset and increasing it only when needed can help prevent the browser tab from crashing.
A network connection is only needed to load the site; large file operations mostly stay in local memory. Still, if the page refreshes on a weak connection, the session may reset, so keep the connection stable during long tasks. If the operation seems frozen, wait first; before refreshing the page, make sure your original backup is still available.
Choose the right tool
"Extract pages" and "delete pages" produce different results: splitting turns selected pages into a new file, while deleting leaves the rest in a single PDF file. Choosing the tool based on your goal prevents unnecessary second steps.
If the order needs to change, using Reorder Pages first and then Delete Pages or Split PDF if needed usually creates less confusion. Before merging, making sure all source files have the same orientation and similar page sizes improves readability.
If you need text editing or form filling, HexxPDF's structural tools may not be enough. Using the tools with the right expectations helps reduce frustration and wasted time.
File naming
The download link usually suggests a generic name; adding the date, version, or operation type when saving keeps your archive organized. Example: `contract-2026-06-02-pages-deleted.pdf`.
If you produce multiple intermediate outputs in the same project, short additions such as `merged`, `part-2`, or `watermark-draft` show which file came from which step. Special characters and spaces usually work in most systems, but be aware of the limits of your sharing environment.
Very long names may be cut off in email attachments; around 50–80 characters is usually enough. Avoid adding unnecessary personal information to file names for sensitive content. Before sharing, a short note about which version you are sending helps reduce "wrong file" follow-ups.
Common mistakes
The four mistakes below are among the most common issues when editing PDFs; avoiding them deliberately can speed up your work:
- Saving with the same file name without backing up the original and losing the source file.
- Downloading without checking the page range or the pages selected for deletion.
- Leaving a sensitive PDF file open on a shared computer or not cleaning downloaded copies.
- Using the wrong tool, such as splitting instead of deleting, and getting multiple outputs instead of the expected single file.
